This Privacy Policy explains how Nodo Guanajuato A.C., operating the Hadox Research Labs service (collectively, “Hadox”, “we”, “us”, or “our”), processes personal information when you use hadox.org, contact us, or communicate with our AI-assisted channel on WhatsApp.
1. Information we receive
Depending on how you interact with us, we may receive:
- Your name, email address, organization, phone number, and information you submit through our website.
- Your WhatsApp identifier and phone number, profile name, message content, attachments, timestamps, and message-delivery metadata provided through the WhatsApp Cloud API.
- Conversation context, commands, and responses needed to operate the Hadox AI assistant.
- Technical and security information such as request logs, IP address, browser type, error reports, and abuse-prevention signals.
Please do not send passwords, financial credentials, government identifiers, medical records, or other highly sensitive information through WhatsApp unless we have expressly asked for it through an approved secure process.
2. How we use information
We use information to:
- Receive and respond to messages, inquiries, and service requests.
- Operate the Hadox AI assistant, maintain conversation context, and carry out actions you request.
- Authenticate permitted users, prevent misuse, diagnose failures, and protect our systems.
- Improve service reliability and understand aggregate usage.
- Comply with applicable legal obligations and enforce our agreements.
Some responses are produced or assisted by automated systems. Automated output can be incomplete or incorrect; it should not be treated as legal, medical, financial, or other professional advice.
3. Service providers and disclosures
We disclose information only as needed to operate the service, including to Meta and WhatsApp for message delivery; hosting, security, storage, observability, and AI-model providers configured for the Hadox agent; professional advisers; and authorities when disclosure is required by law or necessary to protect rights and safety. These providers process information under their own terms and, where applicable, contractual safeguards. We do not sell personal information.
4. International processing
Providers supporting Hadox may process information in Mexico and other countries. Privacy protections may differ by jurisdiction. We use reasonable technical, organizational, and contractual measures appropriate to the service and the nature of the information.
5. Retention and security
We retain personal information only for as long as reasonably necessary to provide the service, preserve requested conversation context, secure and troubleshoot our systems, meet contractual or legal requirements, and resolve disputes. Retention periods may vary by data type and service provider. We use access controls, restricted sender lists, secret management, transport encryption, logging controls, and other reasonable safeguards. No method of transmission or storage is completely secure.
6. Cookies and website analytics
Our website may use essential cookies and similar technologies needed for security, language preferences, forms, and site operation. If optional analytics or third-party media are enabled, their providers may receive device and usage data. You can restrict cookies through your browser, although some features may stop working correctly.
7. Your choices and rights
Subject to applicable law, you may request access to, correction of, deletion of, or restriction on the use of your personal information, and you may object to certain processing. You can also stop using the WhatsApp channel, block the business account, or delete the conversation from your device. Deleting a local chat does not automatically delete records held by Hadox or its providers.
8. Data deletion requests
To request deletion of information associated with the Hadox website or WhatsApp assistant, email edgar@hadox.org with the subject “Privacy and data deletion request”.
Include the phone number or email address used with the service and enough information for us to locate the relevant records. We may ask you to verify control of that account before fulfilling the request. We will delete or de-identify eligible information from systems under our control and instruct applicable processors as required, except where retention is necessary for security, legal compliance, fraud prevention, dispute resolution, or another lawful purpose.
9. Children
The Hadox website and WhatsApp AI assistant are not directed to children under 18. If you believe a minor has provided personal information, contact us so we can review and remove it where appropriate.
10. Changes to this policy
We may update this policy as our services or legal obligations change. We will post the revised version here and update the effective date. Material changes may also be communicated through the relevant service when appropriate.
